Search for bookings to resend pre-arrival waiver emails, get each booking's unique waiver link, see when pre-arrival waivers were sent to the guest, and view a summary of the booking data Wherewolf has received.
On your Wherewolf Dashboard, the 'Search Bookings' function will search your reservation data for details that match your query. You can enter the guest's name, email address, or reservation ID to locate their specific booking.
When you have identified the booking, you'll see 7 columns:
The time and date the guest has booked for.
The status of the booking.
Booking systems use various statuses depending on their supported use cases. Booking status are independent of guest status, a booking may be "Active" but you may have "Deleted" guest waivers.
For example: if you run a tour that only happens in good weather, you may have pending bookings (that are pending confirmation of fine weather on the trip date).
Once fine weather is confirmed you will change the booking to active, and Wherewolf will be triggered to request waivers for the guests in this booking (only once the booking status is Active).
At Wherewolf, we support the following list of statuses (which are typically sufficient):
Pending(unpaid or partially paid)
Rebooked(cancelled but linked to a new one)
By default Wherewolf only honours "active" bookings, but you can ask us to send emails and request waivers for bookings with the status pending (please send requests for this to firstname.lastname@example.org)
Note: On the rare occasion that your reservation system does use more statuses, you will need to contact the support team to manage these accordingly.
The guest's name, pax number, activity, customer name/email/phone number.
The guests for that booking who have completed waivers.
The waiver link for that booking. This link is the waiver link specific to that booking, if this link is opened then any submitted waivers will be connected to that booking and assigned to that group's activity and time. Each booking will also have it's own QR Code which guests can scan to open their booking-specific waiver link
What we've already sent the guest, and when. You can click on this to send a reminder. It will also show if a waiver communication has not been sent, and why. For example, if the activity in your reservation system doesn't exist in Wherewolf, or if the email is not scheduled to send until closer to the tour date.
