Please be sure to read our Activities Overview and familiarise yourself with the role that activities play in your Wherewolf account, as well as the potential risks involved.
Activities can be managed from within the Activities Settings screen of your Assistant management portal.
Reordering activities
If you ask guests to select their activities as part of your waiver process, you can change the order that the list of activities is displayed in. Simply click/tap and drag an item in the list to your desired position.
Adding new activities
Tap the Add an activity button at the top of the activities list screen in order to create a new activity.
Important: be sure to test your waivers after creating an activity, and confirm that the correct questions are asked and relevant terms and conditions displayed!
The activity editor form will display. Complete each of the following fields to create a new activity:
Name:
The display name for the activity. This is the "human friendly" label for the activity, and is what will be displayed to your guests.
ID / Product Code:
The unique identifier for the activity. The ID cannot match that of any of your other activities.
If you have a reservation system integration, the ID of the activity must match the corresponding reservation system product's code/ID. If it does not, Wherewolf has no way of linking your reservation product to your Wherewolf account. This means we will not send waiver links to guests who book for that product, or show bookings for this product in your Arrival App!
Visibility:
This property determines where we display the activity, as well as whether this activity is enabled for your reservation integration. In 99% of cases, you'll want to set this to All so that the activity is displayed in your waivers and in your dashboard, bookings are fetched for the corresponding reservation product, and waiver links are sent to guests who book for that product.
Other options:
Dashboard:
The activity will not be displayed as an option to guests within your waivers (if you ask guests to select their activity). It will still be displayed to you in your operational dashboard. It will not be enabled for your reservation integration (if applicable). I.e. we will not fetch and display bookings for it in your Arrival App, or send waiver links to guests who book for it.
Hide:
The activity won't be displayed as an option to guests or to you in your operational dashboard, but we'll fetch and display bookings for it in your Arrival App, and send waiver links to guests who book for it.
Disable:
The activity won't be displayed anywhere and will also be disabled for your reservation integration (if applicable). We won't fetch or display bookings for it in your Arrival App, and guests who book for it will not be sent your waiver link!
Terms & Conditions:
Here you can specify the terms and conditions that will be displayed to a guest with this activity assigned. The guest will have to agree to these terms in order to complete your waiver. Note that you may have a custom waiver configuration that displays a different set of terms and conditions. Please be sure to test your waivers and confirm that the correct T&Cs display for this activity.
You can copy and paste your current terms from an existing document (PDF, Word, Google Docs etc.), and use the formatting buttons to control how they are displayed.
Advanced:
These advanced fields should be ignored unless you are confident they apply to your situation, and you understand their implications:
Group Size:
When the activity is a product (e.g. Kayak, Car or Group) this sets how many seats (guests) each unit of product represents. When someone books for this activity, we will allocate this amount of guest records to the booking.
Site:
Only applicable if you operate multiple sites and have these configured in your Wherewolf profile. If this activity is only available at one of your sites, you may select that site here. When the guest is assigned a site, your waivers will only display the activities that are configured for that site, or are not limited to a specific site.
Editing an activity
From your activities list screen, simply click/tap the activity that you wish to edit in order to open the editor screen.
Note that you can not edit the activity ID. If you've mistyped the ID when creating the activity, you will need to create a new activity with the correct ID before deleting the existing activity.
Can't edit activities?
If your waivers have conditional behaviour dependent on activities, we will prevent you from accessing the editor and you will need to submit a support request to make changes. Please see this article.
