You can customize the automated emails sent to your guests directly from your Dashboard.
Some marketing people call this "Drip Campaigns", others call them "Follow Up Emails" because you are following up on your guests at a later date. We prefer the latter, because it keeps it honest to what it is - sending messages to later follow up on your guests, rather than hiding behind plumbing buzzwords.
- Log in to your Dashboard: https://dash.getwherewolf.com
- Navigate to Settings > Communication
- Here you'll see a list of your automations.
- Click on the automation you wish to edit.
Editing Your Automation:
Once inside the editor, you can:
- Update the Name (this is the name that will help you recognize the type of automation)
- Enable the automation
- Adjust the Timing content
- Select or Create a new template
- Adjust the conditions in which the automation is sent
Sending an Email Automation Based on an Activity
If you’d like to send a specific email for certain activities and a different one for others, you can set this up by using conditional logic in the email automation editor.
Setting up the first email (for a specific activity)
Inside the editor, click on the Conditions section.
-
Click Add condition.
- In the first drop down box - select 'Activities'
- In the second drop down box - select 'in'
- In the third drop down box - select the activity (or activities) you’d like this email to send for.
- Click Update Conditions to save your changes.'
You’ll now see the newly added condition displayed in the Conditions section.
To keep things organized, rename the automation email so it’s clear which activity it applies to.
Setting up an email for all other activities
When you set up conditional logic for one activity, remember that the other activities will no longer automatically receive the same email. You’ll need to create an additional email automation to ensure they still receive their message.
- Click on 'Add Follow Up Communication'
- Select the type of email you want to send.
Add a clear Name for this automation (for example, “All Other Activities – Follow-Up Email”).
Click the Enabled toggle to activate the automation.
Adjust the Timing to control when this email will be sent.
Select the Template you’d like to use or create a new one (this defines the content of the email).
-
Add a condition to include all activities except the one already assigned to your first email:
Activities → Not in → Select the activity you want to exclude.
Click Create Communication to save.
