Send your guests a link to their waivers before they arrive using the Wherewolf waiver email feature. The waiver emails are integrated with your reservation system and sent out to each new booking automatically.
What does the email look like?
The current generic pre-arrival waiver email template looks like this (using your branding, logo, colours, images etc):
This example uses our default text however if you would like to make modifications to the the content then you can ask our support team at support@getwherewolf.com or login to the assistant editor to make changes yourself.
The email contains the name of the guest, the activity that have been booked (if available), a link to the waiver, a visual button also linking to the waiver and QR code that can be scanned by other participants in the group which will trigger the waiver app to open in a web browser on their own device.
When does the email get sent?
You can configure the the waiver link email to be sent immediately as soon as your reservation system informs Wherewolf of the booking being made.
or
The waiver link email can be set to send a period of time before the guests trip/arrival date. For example, "3" days before the activity is set to occur. This period of time is configurable.
Can the email/link be shared?
Yes, the link can be shared by your guests with all participants on that booking. The email can be forwarded on to the other guests (sharing the same booking), it can be can be copied pasted into sms or social media messaging apps or the other guests can scan the QR code.
None of the links or QR code should be shared publicly or with members that are not participants on the same booking. Every waiver link email that is sent will contain a link unique to the booking that triggered it. If a guest makes several bookings for activities requiring waivers then they will receive several emails and should respond by clicking/sharing the links to all of the emails.
What does the prearrival waiver ask?
On clicking the link a pre-arrival waiver will open in the guests browser. The link and the waiver is unique to the booking and is pre-loaded with the activity, date, and time that the booking system had provided Wherewolf so that guests who use this waiver link do not need to answer those questions.
They will be shown the questions and terms & conditions text assigned to the activity that was booked by the guest. The pre-arrival wavier can ask all of the same questions that are asked in the onsite ipad arrival waiver or it can be configured to only as a portion of those questions (that are not time sensitive) if that is preferred.
