Keeping your activities up to date is easy in the Wherewolf Dashboard. Whether you need to add activities, adjust titles/descriptions, change visibility you can follow the steps below to manage your activity settings.
How to Edit / Add Activities

Log into the Wherewolf Dashboard
Use your admin login details. -
Go to Settings > Activities
- Click Settings in the left-hand menu.
- Then click Activities.
- A list of your existing activities will appear.

Select the Activity to Edit or 'Add New Activity'
Click on the activity you'd like to update.
NOTE: If you are integrated with a reservation system (e.g. FareHarbor, Rezdy, ResPax etc. you do not need to add a new activity. Your activity will be in the 'Disabled' tab as an unconfigured activity. Please follow these instructions instead: How to Configure Unconfigured Activities?)
Using the Activity Editor
Name
Update the name to better reflect your activity
Description
Add or edit the short description of your activity.
Visibility Options
Control how this activity is shown and whether guests receive waiver links:
- Enabled – Show everywhere and send waiver links to guests.
- Staff Only – Show only in your Dashboard, not to guests - but still send waiver links.
- Disabled – Hidden from everywhere and do not send waiver links to guests who book for this activity.
Advanced Settings
Click the Advanced dropdown in the Activity Editor to access additional settings:
Default Activity Group Size
Use this field to define how many guests are included per booking unit.
- Example: If one booking represents a kayak for 2 people, enter 2 here.
This setting helps Wherewolf calculate capacity if your activity is sold per unit rather than per individual.
Send Booking Link Until
Choose how long Wherewolf should send waiver links after the activity is scheduled to start:
- (undefined) or Start - When sendBookingLinkUntil is undefined or set to 'start' Wherewolf will ONLY send pre-arrival link emails to a guest until the trip START date/time has passed.

End - When sendBookingLinkUntil is undefined or set to 'end' Wherewolf will continue to send pre-arrival link emails to a guest until the trip END date/time has passed.
Identifier
This is the unique identifier used by your reservation system to identify this activity.
- Imported automatically from your booking integration
- You do not need to update this manually
Saving Changes
There's no save button! Your changes will save automatically when you exit the editor.
Don’t Have Access to Settings?
If you can’t see the Settings menu in your Dashboard, your user role may not have the correct permissions which can be added by your account administrator:
What to Do After Adding a New Activity
Once you've added or edited an activity, don’t forget to update your waiver form so that guests completing a waiver for that specific activity are asked the right questions and agree to the correct terms.
Step 1: Update Your Waiver Form
After adding a new activity, you’ll need to tell the system what questions to show for that activity.
To update your form:
- Go to Dashboard > Settings > Form
- Open your base form
- Find the question page(s) you want to update
This ensures that specific questions (e.g., medical forms, gear selection, group details) only show for the relevant activity.

Step 2: Assign Terms & Conditions to Your New Activity
If your new activity has different or additional terms, you’ll need to configure these so guests see them when completing the waiver.
To assign terms:
- Go to Dashboard > Settings > Terms
- Click Edit on the relevant terms page or click Add Terms
This ensures legal or policy information (e.g., cancellation terms, rental agreements) shows for the right activities.

Step 3: Add activity to email/sms automations (if required)
IF you have specific emails/sms that are sent to guests based on certain activities then you will need to review the logic for these and either:
a) create a new email/sms specifically for this activity
b) add this activity to the logic on an existing email/sms
To assign terms:
- Go to Dashboard > Settings > Communications
- Open the relevant email and edit the 'conditions'
